Old Business
- Unless there’s an emergency, tenants may not directly contact Board members or Property Concepts. They need to contact the unit’s owner or owner’s representatives with any property concerns.
- Replacing the timer for the garage exhaust fan will be included in next year’s budget.
- Here’s notice that the Board will be enforcing the Rules & Regulations. Warning notices will be sent to unit owners with fines following if the violation has not been resolved.
New Business
- A vacancy has opened up for the Member-at-large position. Please contact the Board if you have questions about the role or are interested.
- We are scheduling further plumbing and repair work for the leak between 101 and 102.
- The Board has signed off on the bid for elevator modernization. Members of the Board also noted that the key that is supposed to reside in the elevator key box for the Seattle Fire Department must also be replaced, and Brian will be reaching out to our TK Elevator contact about this. We will also have to coordinate with the City to gain access to the box.
- Some species of birds nest in the dryer vents and this has been an issue here for some time now. The Board would like to coordinate with homeowners to alleviate the issue. For example, can we reduce the number of such birds, or find solutions to cover the dryer vents?
- The north stairs have been rebuilt. The vendor had also returned to address the issue of water pooling on the landing, which looks to be less than before.
- The Board has authorized Property Concepts to make another effort to collect back-owed taxes from Ambassador I regarding the garage spaces.
- We are asking Bulger to scope the complexity and cost of converting all the communal keys around the building to fobs.
Committee Reports
- A homeowner has set up a forum for homeowners: https://www.facebook.com/groups/ambassador2seattle/.
- Google Fiber has offered free service to our property. After inspection, it was determined that our building was ineligible without performing some upgrades. We will investigate this in the future.
- Fitness Room room equipment procurement remains on hold.
Security
- No vehicles reported stolen in September. A firm reminder to never store your remote keys in your car.
- No locker break-in attempts reported in September. Please don’t store valuables in lockers. Please also secure your locker with a high-quality lock to avoid and deter future break-ins.
- No package thefts were reported in September. Please pick up your packages as soon as they arrive or, better yet, schedule them to be delivered to a more secure location like your work address or an Amazon locker.
Rules
- Rule 3.12 – Rules & Regulations state that Realtor key boxes must be removed within 7-days of the sale or lease of the unit. Otherwise, there should be no other key boxes attached to the fencing anywhere on the property. All non-Realtor key boxes will be immediately removed and disposed of without notice.
- Recycling reminders: Our recycling rules are identical to the City of Seattle’s. Please break down boxes, toss most packing materials into the trash, as most are not recyclable. IF IN DOUBT, THROW IT OUT. All plastic packaging is not recyclable. Paper towels are not recyclable. Caps on bottles are also not recyclable.
ALL RECYCLABLE ITEMS MUST BE CLEANED PRIOR TO PLACEMENT IN THE BINS
- Rule 4.10 – DO NOT leave garage remotes in your vehicle. Non-resident owners, please discuss this continued security issue with tenants.
- Rule 3.17 – It is our individual responsibility to secure the building. Before proceeding away from the building or to your parking space, please wait for the Summit Ave garage gate to close completely. We strongly advise residents to never leave anything in vehicles or lockers that one does not wish to lose.
- Rule 3.5 – Smoke from several units has been leaking into the hallway. This has been creating a persistent odor in the hallway and affecting other residents on the floor. As a reminder of the rule – “No owner or occupant shall make or permit any loud, excessive, or disturbing noises or odors by himself or herself, his or her family, employees, agents, or visitors, nor do or permit anything that will interfere with the rights, comforts, or convenience of any condominium owner or occupant. NO SMOKING IS PERMITTED IN THE COMMON AREAS OR GARAGE.” Violators will be fined and potentially charged to remove the odor in the hallway.
Things to Always Remember
- MODIFICATION OF UNITS: Please review the Rules & Regulations prior to any modification of the unit (Rule 8.1 through 8.10). If one is planning to remodel their unit or make substantial construction noise, it is courteous to contact all surrounding units and restrict work hours to when the units are mostly unoccupied. All work should be done within the unit boundaries. An owner or contractor wishing to use common area space for storage or work space shall submit a request to the Board, which will render a decision.
- PARKING IN GARAGE: The two (2) dentist office parking spaces are not to be used for guest parking. There is no guest parking in the garage, as all spaces are assigned. Unauthorized vehicles may be towed without warning at the vehicle owner’s risk and expense (Rule 4.1). Non-resident owners, please advise tenants of this continued parking issue. The dentist office has provided the Board a list of vehicles to tow on sight. NO WARNING!
- WATER SHUT-OFF VALVE: There is a water shut-off valve located in every unit above the water heater. This valve will shut water off to your entire unit without affecting the whole building.

- A vacancy will be opening up for the Member-at-large position. Please contact the Board if you have questions about the role or are interested.

New Business
- The painting of the south stairwell has been completed thanks to the help of intrepid homeowners, with the exception of a small portion at the top where an extension ladder is needed. Big shoutout to Diane and Lauri for helping make the painting party a success, and to Kate for the treats.
- Window cleaning and dryer vent cleaning was completed on September 29th and 30th. Extra windows were cleaned this time, including the outside of the exercise room windows.
- TK Elevators will be performing elevator modernization in the next year and will be coming out to inspect the elevator.
- We’ve received a change order from Steadfast, adding extra work to our bid for repairing the stairs. Unfortunately, it seems one of the posts holding up the landing has rotted. Steadfast will be replacing these and adding flashing to divert the rain away. The Board approved this change order.

Contractors are not available for such small jobs and we figure we can get it completed and over with soon with some people power. Pizza will be provided.

- We agree to ask our window cleaner to add the unwashed common windows to the October window cleaning bid, namely around the fitness centre and the lobby area.

- The Board has installed a secured corkboard where notices may be posted in the lobby without being disrupted by others. Please contact the Board if you wish to have your notice placed there.
New Business
- The Secretary was absent; the Vice-President is taking notes in their absence.
- Amazon has reimbursed the Amazon Key damage to the call box. Thank you Ashley for following through and closing the loop.
- Pressure washing will occur later this month. We will be placing a notice on the entrances to the mailroom, and on the notice board.
- Garage code was successfully updated on June 10th.
- We have informed Ambassador I about stolen remotes being a problem in the community. The board will follow up with discussions on managing remotes, and exploring a method for homeowners to purchase remotes.
- On the topic of landscaping: It has been hard to find appropriate plants, and Jay is still currently looking. Also, there appears to not be a drainage system for the square garden. It is unclear if we require proper drainage for the longevity and health of future plants.
- The board will work with the landscapers to add a new layer of bark. The board unanimously approved of the expense.
- Older fans for bathrooms causing a large amount of noise is an ongoing issue. Property Concepts has issued an official warning to one unit.
- The board discussed standardizing a procedure to receive homeowner complaints and reports. For example, requiring the reporting homeowner to provide detailed data points (e.g. time and date of event) of the activity that is being reported.
- Fine fees are historically outdated. They have not been updated in the bylaws since inception. The board is considering modernizing the rules and regulations, and updating the fine structure to better reflect the current economic situation.
- Fines are historically deterrents, not punishments. The suggestion is to update from $25 to an laddered $100/150/250.
- On the topic of security cameras: We currently have a first bid, but it is currently difficult to get a second bid due to unresponsive companies.
- The cost is non-trivial. We will need to use a large amount of reserve funds. The board will present the package to the annual meeting to discuss with homeowners about this project.
- On the topic of the 2022 Reserve Study: Ideally we will have it done before the annual meeting. This will require immediate followup with the company. We will contact them tomorrow to get a date for the site visit.
- On the topic of website hosting: We will require a new expense to host the website and domain renewal, which we estimate to be $250/year. The board approved this unanimously.
- On the topic of the annual meeting: It is tentatively scheduled on July 13th.
- Annual budget will need to be presented – Ashley will provide a first draft next week.
- Property Concepts will mail out the announcement and the Proxy ballots.
- Jay will take charge and put the packets together.
- Secretary role is up for renewal this year,
- Will Amy continue being a board member? This will be discussed offline.
- Jean is leaving the board
- The board will require a new Member at Large.
Committee Reports
- We are investigating the possibility of installing a package locker for package deliveries. The quote we received would be 14k for the installation fee; however, this is not something we have allotted for our 2021-2022 budget. We will present this information in the Annual meeting.

New Business
- We have collected several proposals for security cameras to be placed in key areas around the property and will continue to do so. The security cameras are intended to serve as a minor deterrent, as well as help us survey odd activity and understand potential methods of entry into the building and garage. Thank you to the homeowner who also contributed their knowledge.
- The Board also discussed improving the security of the door locks around the building.
- Currently, we are soliciting a cleanup bid for the rat droppings in the garage.
- The Board has installed a secured corkboard where notices may be posted in the lobby without being disrupted by others. Please contact the Board if you wish to have your notice placed there.
- The garbage room gate’s keypad is not working. Since the recycling is emptied through a different door, we are still having our recycling picked up, but the trash is inaccessible to the City. We have contacted a vendor who should be able to fix the keypad and reprogram it.
- Cleaning of windows and dryer vents around the building was completed on April 11 and 12.
- To prevent rabbits from eating the plants around the property (recall that deliberate damage is subject to fines under the rules and regulations!), the Board will look into installing some chicken wire fences.

- The building of a retaining wall and associated work to level the patio in a first-floor unit, plus other appropriate upgrades, has been approved by the board, with the cost to be borne by the homeowner. In particular, should the fence be damaged or destroyed, or need to be modified, the expense for getting it repaired falls on the homeowner.
- A rabbit has been spotted onsite. We speculate this rabbit is responsible for chewing the tender new growth in two of the beds. The board is looking into a deterrent that will not also affect residents’ dogs.
- A task force will look into replacing some of the window frames and screens in common areas. The Board also explored the feasibility of window replacement across the whole building, which would have to be a long-term project in the mostly distant future.
- The Summit Avenue garage’s remotes must be re-coded. Notices have been made alerting homeowners to this change, which will take effect April 25 at 12:00PM (noon).
- Security of certain areas has been an ongoing problem. To begin tackling some of the issues, the Board has discussed a several-pronged approach. We are looking into the installation of security cameras in a few key locations, removing access codes to the building, and continuing to push on the idea of adding a package locker.
- Evidence of rodents in the garages has been acknowledged. An extermination company has come out to assess the situation, and we will be taking actions to clean up and restore areas where they may be congregating.
- Some interest has been expressed in an email mailing list for notices containing non-sensitive information. It could be possible given sufficient interest and a low-enough-maintenance solution.
Committee Reports
- We are investigating the possibility of installing a package locker for package deliveries. The quote we received would be 11k for the installation fee; however, this is not something we have allotted for our 2021-2022 budget.
Security
- One vehicle was reported stolen in March, and several others broken into. A firm reminder to never store your remote keys in your car.
- Several locker break-ins and break-in attempts reported in March. Please don’t store valuables in lockers. Please also secure your locker with a high-quality lock to avoid and deter future break-ins.
- Several package thefts were reported in March.
Meeting adjourned at 8:04pm.
Next Board meeting is scheduled for Monday, May 9th, 2022 at 6:30pm in the Fitness Center.
